Reference Sheet for the Preparation of Research Grants

 

All grants and contracts must be approved by VMRF PRIOR to submission to any funding agency . The deadline for submission to VMRF is two weeks prior to agency submission deadline. In cases in which the funding agency does not require prior institutional sign off, we still urge you to collaborate with VMRF because we can support you in requesting and receiving compliance approvals necessary to start your work, if funded. Incomplete compliance documentation, at the very least, will lead to possible delay in accessing your research funds.

 

Frequent revisions by NIH mean that you should ALWAYS use the most recent NIH forms from their web site at http://grants1.nih.gov/grants/forms.htm or at www.grants.gov. Re-cycling form pages from even recent applications can result in an unacceptable submission. The current forms must be used for submissions at all times. Call if you need help.

Language for Budget Justification (should precede "Personnel"):

 

The Veterans Affairs San Diego Healthcare System (VASDHS) policy is that the Veterans Medical Research Foundation (VMRF) administers grants with 50% or more performance in VASDHS space. The 50% applies to where the actual research work is performed, not the P.I.'s research effort.

 

In front of the detailed budget justification paragraph for each of the Key Personnel who have VA 8ths and are anticipated to be paid on a PA with UCSD we include the following:

 

[INSERT TITLE ON THE PROJECT AND/OR NAME OF STAFF], [insert % effort], is "UCSD TITLE", at the University of California, San Diego and [INSERT VA TITLE] in the VA San Diego Healthcare System (VASDHS). [INSERT NAME OF INVESTIGATOR] is an employee of the Veterans Affairs San Diego Healthcare System. In addition, s/he holds joint appointments with the University of California , San Diego and VMRF. The [list percentage] salary support requested for "INVESTIGATOR" relates solely to his/her VMRF appointment and is in keeping with NIH policy that recognizes a 60 hour work week for VA Principal Investigators. The salary requested in the grant relates to the UCSD institutional salary base.
